Sales Support Administrator/Receptionist

  • We are looking to add a Sales Support Administrator/Receptionist as we are growing our winning team. This individual will take and direct all incoming calls daily, as we want our clients, prospective clients, and vendor partners to be answered “live”. The Sales Support Administrator will also assist in the sales process as needed with administrative functions.Daily duties will include:
    • Creating and maintaining spreadsheets and reports, faxing, scanning and retrieval of documents and account information.
    • Maintaining excellent communication between the Toledo staff and Cleveland HQ.
    • Reviewing, organizing, and monitoring Toledo sales proposals, bids and responses and maintain a tracking system for the status of each in the bidding process.
    • Assisting the Toledo Branch Manager in the maintenance and regular update of spreadsheets for the tracking of inventory, categorizing re-cons, new machines and accessories through the list of serial numbers.
    • Email, scanning, or faxing orders from the Toledo Office to the Sales Administrator in Cleveland in a timely manner while reviewing documents for accuracy.
    • Supporting the Toledo Office administratively by completing tasks assigned by the Branch Manager, Sales Manager, or other members of the Blue Technologies Management Team.
    • Performing incidental office tasks such as monitoring standard office supplies and postage; collating, assembling and posting documents; making coffee; accepting and delivering correspondence and shipments; screening calls and visitors. Also includes maintaining clean reception, office, demo, and coffee areas.
    • Greets visitors and provides employment documentation to prospective candidates in a polite and professional manner.
    • Sends payments to the Cleveland Office daily as received.
    • Maintains professionalism and confidentiality throughout all aspects of the Toledo Office administrative functions.

    Skills required:

    • Strong verbal and written communication skills
    • Must be Microsoft Office proficient – no training provided for clerical duties .
